Role and responsibility synopsis

Role Synopsis

The Information/Document & Data Lead will manage and guide the document team, ensuring effective leadership, strategic direction, and technical support while mentoring the national document control team.

The role involves developing new system tools to manage not just documents but also data and engineering models, ensuring handover from projects for their deliverables in controlled and completed to plan.

The lead ensures the reporting of KPIs, effective management of operational documents and data, and the implementation of robust review cycles to optimize the overall process.

Additionally, the lead will be responsible for delivering the Operations Information Management strategy by ensuring effective communication of information within the operations environment, utilizing current and new systems, system technology, and digital tools.

Significant people leadership and strong stakeholder management experience for an organization of similar scale and complexity of brownfield facilities.

Demonstrable experience in creating value through safe, reliable, and efficient in operations document and data management.

 

Key Accountabilities

· Manages a team of direct reports, demonstrating effective leadership to ensure excellence in execution, performance improvement, technical development, direction and coaching.

· Manage the Information management team, ensuring workload distribution and planning.

· Oversee the development and implementation of tools that support document control, data management, and engineering model integration.

· Produce and maintain Information Management input to the operations management plan and all procedures relating to document and data management.

· Ensure adherence to regulatory requirements and industry best practices in document and data management.

· Develop and maintain systems that facilitate seamless management of documents, data, and engineering models. Ensure company and contracting companies have clear and defined processes documented within procedures and contracts.

· Establish and monitor key performance indicators (KPIs) to track document and data management effectiveness, such as document processing times, compliance rates, data accuracy, system usage metrics, and review cycle completion rates.

·  Oversee the handling of vendor and project supplied documents and data to ensure accuracy and compliance with organizational requirements.

·  Implement and maintain robust document and data review cycles, ensuring efficiency and compliance.

· Work with internal stakeholders to ensure proper document and data handling. Provide training and best practices guidance. Train and coach document controllers and functions, mentoring local staff.

· Ensure document and data backup strategies are in place to support business continuity.

· Coordinate with corporate ICT groups to ensure appropriate access rights for personnel. Attend kick-off meetings to present company Information Management project requirements.

· Serve as the first point of contact for the overall management of company operations Information Management systems. Act as the CIS System Expert/Administrator and provide first-line support for user queries.

·  Ensure that all EPC contractors adhere to Rumaila-wide procedures and, where necessary, assist with document management systems.

· Ensure document control procedures and processes are reviewed and revised at regular intervals. Roll out Information Management processes to other company functions.

 

 

Criteria & Qualifications

Essential Education

·        Bachelor’s or master’s degree – in Information Management, Document Control, Engineering, or a related field.

·     Proven lead/manager experience (15+ years) in document management, data management, or a similar role within industries such as engineering, construction, oil and gas, or infrastructure projects.

·        Strong knowledge of document control processes, data governance, and compliance regulations.

·        Proficiency in document management systems, data repositories, and engineering model platforms.

·        Experience with KPI tracking, reporting tools, and workflow automation.

·        Excellent leadership, analytical, and project management skills.

·        Strong communication and stakeholder engagement abilities.

·        Deep discipline knowledge encompassing the full breadth of departmental activities

·        Ability to make decisions and initiate actions
